Your Role: This is an opportunity to manage the flow of a fast-pasted work environment to keep the organization and facility running smoothly and optimize day-to-day activities. The ideal candidate has experience in compliance, safety, efficiency, and management of office, facility and operational duties. A highly professional demeanor promotes our company’s culture that encourages top performance and high morale. ​ Responsibilities:
Manage upkeeping of the facility, equipment and supplies to meet workplace health and safety standards
Plan and coordinate all installations to ensure the workplace accommodates employees as they do their jobs
Work with external contractors to ensure maintenance upkeeping, compliance with company policies and to coordinate in a transparent, accountable way
Control and oversee projects and accommodations within facility
Support management in allocating office space according to needs. Explore new desking layouts and space utilization strategies based on feedback from management and teams
Support management in financial and non-financial record keeping and management of space- and workforce-related costs to better understand true overhead and inform future workplace decisions
Review utilities consumption and strive to minimize costs
Provide workplace data to management if requested for analysis and forecasting that informs broad business decisions, such as signing a new lease, moving the company, determining occupancy goals etc.
Identify potential problems and points of friction and working to find solutions in order to maximize efficiency and revenue
Support in tracking and analyzing important reports such as budgets, operation activity and department metrics for management to use them to determine trends and variances and identify areas in which positive changes can be made
Manage meal planning for employees and visitors
Organize and manage event planning and conferences
Purchase of all supplies as required for facility, operations and employees
Manage reception, shipping and receiving
Arrange and coordinate some travel and car rental
Assist in onboarding and offboarding
Perform other duties as necessary for completion of projects and achievement of goals
​ Minimum Qualifications: Experience
Minimum 6+ years of experience
“Big picture" thinking skills to address top-level concerns and find the best path forward from all of the available data
Interpersonal, outstanding writing and analytical skills
Understanding of financial and budgeting processes
Ability to respond quickly to a shifting reality and adjust initiatives and priorities accordingly
Keen organizational skills and the flexibility to jump from priority to priority
Experience in using computer applications such as Microsoft O365 and GSuite
Experience in an administrative, project management, or office management capacity
Candidate must be a confident self-starter, capable of working both on her/his own as well as part of all teams
Education
Bachelor’s degree in business administration or related field
Preferred Qualifications:
10+ years’ experience in the field
Ability to manage cross-functional and external relationships
Experience using cloud content management and data repositories
Previous experience with startups transitioning to growth stage and beyond
